SUBJECT: Consider adopting a resolution refunding a $25,000 donation previously
accepted from the Cottage Grove Athletic Association
Introduction
The Cottage Grove Athletic Association (CGAA) has submitted a request that the City return a
$25,000 donation which was made to the City in February 2010 as the donation was not
approved by the Executive Board of the organization.
Discussion
Brad Bacon, President of the CGAA Board of Directors has submitted a letter to the City
requesting the return of $25,000 in funds which were donated by the "Grove Soccer Division"
of the CGAA. Mr. Bacon acknowledges in his letter that the funds were never approved for
donation by the Main Board of the organization.
A copy of the minutes of the June13, 2010 CGAA Board meeting are also attached with Mr.
Bacon's letter.

RESOLUTION RETURNING A DONATION BY THE COTTAGE GROV
ATHLETIC ASSOCIATION RECREATIONAL SOCCER DIVISION IN TH
AMOUNT • $25,000.00 1
WHEREAS, the Cottage Grove Athletic Association Recreational Soccer
Division made a donation in the amount of $25,000.00 to the City of Cottage
Grove Parks Department for restoration of the soccer fields at Kingston Park and;
WHEREAS, the City of Cottage Grove Parks Department accepted this
donation on February 3, 2010 on Resolution 2010-009, and;
WHEREAS, the Cottage Grove Athletic Association Board of Directors has
indicated that the donation was made without the appropriate approvals of that
Board of Directors and has requested return of the funds to the organization.
NOW THEREFORE BE IT RESOLVED, by the City Council of the City of
Cottage Grove, County of Washington, State of Minnesota, that the City of
Cottage Grove authorizes return of a donation in the amount of $25,000.00 to the
Cottage Grove Athletic Association.

an extension on our current return until August 20 10.

Perren comments:
The golf course is now open for pull tabs. Sales at Motor Sports has slowed a bit. Sales at
Franke's are holding their own.
We have one more month on the combined receipts tax - and then we should actually turn a
profit.

The secretary reported he had received no correspondence or demands from the Internal
Revenue Service (IRS). Regarding the late filed return, a letter requesting abatement of any
penalty and or interest on the return be abated due to the facts contained in the letter. The letter
has been received • the IRS but as • today, no action has taken place and no information has
been sent on to the CGAA.
LASP: Perren, Tanner - motion to have President Bacon draft a letter to the City of
Cottap Grove riquesting the return of the check from Grove Soccer - or the amount of -
W,00 0 - to the Cottage Grove Athletic Association.
New Business
Flack said the secretary should. be prepared to mail certified letters to Schoenberger and
Annette, if it becomes necessary, asking where the funds in question are located. Clarifying
information will become part of the minutes when that information is made available.

Comment-Those divisions that have not turned in their financials, should do so as soon as
possible. They are to go to Kim.

There is a lot of rescheduling taking place at this time. Much • this was caused by the
weather. The summer schedule is being worked on now. Soccer is working on a plan that will
[provide some sort of scholarships.

Soccer will try very hard to coordinate the fall schedule with the football division. It was
pointed out the fall soccer program will really start on or about August I'
Closing comment - There should be no reason for not having some person representing e
division at the monthly COAA meetings. 1

The next CGAA monthly meeting is set for July Il 2010 at the YSB - 7 pm.
