RE: Historic Artifact Donation Policy
Introduction
Occasionally, the City will be approached by individuals seeking to donate pictures,
books, letters, documents, or other historic artifacts relating to Cottage Grove. Many of
these items are of no real monetary value, but may contain a wealth of historical value
for City history records. To address this topic, the Advisory Committee on Historic
Preservation (ACHP) is recommending that a formal policy related to historic donations
be adopted.
Recommendation
After discussing the proposal, the ACPH offers the following recommendation:
That the City Council adopt a resolution authorizing the City's Historic Preservation
Officer to accept all donations of historic pictures, books, letters, documents, and
other similar items related to Cottage Grove for incorporation into the City's historic
preservation files;
2. Any items of significant size or value requires additional City Council approval; and
3. Any items that may require special preservation techniques or efforts be given to the
Washington County or State Historical Societies.
4. Letters of acceptance and gratitude be sent to the donating parties.
RESOLUTION NO. 2011 -XXX
A RESOLUTION CREATING AN
HISTORIC ARTIFACT DONATION POLICY
WHEREAS, on occasion, persons ask to donate to the City of Cottage Grove pictures,
books, letters, documents, and other historic artifacts related to Cottage Grove; and
WHEREAS, many of these items have no real monetary value, but may contain a
wealth of historical value for the City's history records; and
WHEREAS, the City of Cottage Grove currently has no formal policy related to historic
donations; and
WHEREAS, the Advisory Committee on Historic Preservation is recommending the
adoption of a formal policy to accept all donations of historic pictures, books, letters,
documents, and other similar items related to Cottage Grove for incorporation into the City's
historic preservation files.
NOW THEREFORE BE IT RESOLVED, the City Council of the City of Cottage Grove,
County of Washington, State of Minnesota, authorizes the City's Historic Preservation Officer
to accept all donations of historic pictures, books, letter, documents, and other similar items
related to Cottage Grove for incorporation into the City's historic preservation files.
BE IT FURTHER RESOLVED, that any items of significant size or value requires
additional City Council approval, and any items that may require special preservation
techniques or efforts be given to the Washington County or Minnesota Historical Societies.
