RE: Historic Preservation Files — Transfer and Retention
Background
As an outcome of the City converting paper files and documents to digital storage, there
were numerous record books relating to birth and death records, meeting minutes, road
petitions, and other miscellaneous municipal documentation that were identified as being
of historic value but in need of special handling and storage efforts. Cottage Grove staff
identified that the special curation needs were beyond current accommodations at City
facilities.
The City Clerk's office researched the required handling of the identified documents as
well as contacted the State and County Historical Societies. Staff with those agencies indi-
cated a desire to take custody of the documents. State statutes mandate that items such
as birth and death records be kept by the State.
The historic information was organized accordingly by the Clerk's office and a donation
authorization was processed before the City Council at their meeting on September 7,
2016. The Council determined the need for the ACHP to review and approve the re-
quested transfer prior to the City Council taking any action.
Action Request
Review the items and notify the City Council of any that should be retained by the City of
Cottage Grove for preservation.
