Subject: Remova! and Replacement of Hamlet Park Backstops

in May of this year, the City was significantly impacted by high winds, causing
damage to many trees, buildings and structures. The City Park System was no
exception, with damage to four baseball backstops at Hamlet Park, damage to
several picnic shelters and the loss of an outdoor information board at the River
Oaks Golf Course. The City recently met with a representative with the League
of Minnesota Cities Insurance Trust to review the claims and have been given
the go ahead to make needed repairs. The purpose of this memo is to make you
aware of the issue and request authorization to contract for the removal and
repiacement of the backstops.
Discussion
In July of 1998, the City solicited written quotations for the removal and
repiacement of four (4) damaged backstops at Hamlet Park. The City received
two (2) written quotations and the resuits were as foliows:
Gary's Fence Company $19,500
Winkel Enterprises $20,300
I have purposely delayed presenting this request to the Council until the City
received official notification as to what wili be covered by FEMA and the League
of Minnesota Cities Insurance Trust (LMCIT). This past week, Dave Dally met
with the Insurance Claims Adjuster for the League of Minnesota Cities and was
given a verbal go ahead to proceed with making damage repairs.
It is my understanding that FEMA have agreed to pay the City's $2Q000
deductibie with the remaining balance being covered by the LMCIT.
Subsequent recommendations for other repairs will be presented for your
consideration and approval, once quotations are obtained.

Staff requests Council action awarding the removai and replacement of the
backstops at Hamiet Park to Gary's Fence Company in the bid amount of
$19,500.
